Section 1

Method of Review

1.1

Upload. The sending party provides the document in Word (.docx) format via the Redline admin interface. The document is converted and rendered for review.

1.2

Generate. A unique, single-use review link is generated. One link, one document, one reviewer. The link is IP-locked to the first visitor’s network.

1.3

Review. The reviewer opens the link — no account required — and comments inline by selecting text, as one would in a word processor. Highlights and annotations appear in real time.

1.4

Export. Comments and annotations are exported as a Word document (.docx) for inclusion in case files. The complete audit trail — who accessed what, when, from where — is preserved.

1.5

Destruct. The review link self-destructs after the configured period, or is revoked at any time at the sending party’s discretion. Access ceases immediately and irrevocably.

2.1Definition of Confidential Information. “Confidential Information” means any and all non-public information, including but not limited to trade secrets, financial data, business strategies, customer lists, and proprietary technology1, disclosed by either party to the other, whether orally, in writing, or by inspection of tangible objects.
2.2Exclusions. Confidential Information shall not include information that: (a) is or becomes publicly available through no fault of the receiving party; (b) was in the receiving party’s possession prior to disclosure without restriction; or (c) is independently developed by the receiving party without use of the disclosing party’s Confidential Information.

This list should explicitly include “personnel information” — we’ve had disputes about whether employee data falls under trade secrets.
2.3Obligations. The receiving party shall hold and maintain the Confidential Information in strict confidence, using the same degree of care that it uses to protect its own confidential information of like kind2, but in no event less than reasonable care.

Section 3

Declaration Regarding Data Handling

Redline does not store, transmit, or process your documents on any third-party infrastructure. When self-hosted, your documents reside on your server, are transmitted to your reviewers over your network, and at no point become accessible to Redline’s developers, affiliates, or any third party.

When using the hosted service, documents are encrypted at rest and in transit. Review links are IP-locked to the first visitor’s network address. If a link is forwarded to an unauthorized party, they are blocked and the access attempt is logged. Links self-destruct after the configured period or upon manual revocation — whichever comes first.

Redline contains no analytics, no telemetry, no third-party JavaScript, no tracking pixels, and no advertising integrations. The source code is available for audit. Your security team can verify every claim made in this declaration by reading the code themselves.

All reviewer activity is logged: who opened the document, when, from what IP address, what they highlighted, and what comments they left. This audit trail is exported with the DOCX file for inclusion in case records.
